Alumni Database & Research Officer

… at Erasmus University Rotterdam (EUR).

In this role, you will take the lead in managing alumni data and provide the initial research capability that supports the activities that engage our alumni and supporters at EUR.

With your colleagues you will undertake IT project-based work – taking the lead in some projects – to facilitate the Alumni Relations meeting its strategic and tactical goals. You will take ownership of alumni data and ensure that the quality of the data and its integrity are preserved, that EUR’s data policy and process are developed, and that all database users receive the training and support they need to support end-to-end relationship management.

Working from an office within RSM in partnership with fellow alumni professionals you will be leading the way in the creation of a first-class Alumni Relations service for Erasmus University Rotterdam. As Alumni Database and Research Officer, you will report to the Director Alumni Relations for EUR and RSM.

Your main tasks

  • Challenge, develop and improve existing processes while focusing on delivery of best practice, legal compliance, and recording and tracking of relationship management
  • Be responsible for proactively researching, identifying and profiling prospective and current donors, volunteers and high profile or useful connections in support of projects, events, PR opportunities and partnerships
  • Lead regular data-cleaning exercises, work with relevant contacts within the university and third party suppliers to ensure that the process is effective and fully compliant with data and legal requirements
  • Take responsibility for data protection and GDPR compliance and provide recommendations for improvements
  • Develop and deliver intelligence about the alumni community and its typical profiles from research within the database
  • Act as top-level CRM administrator, allocating appropriate access rights to users and ensuring that the system remains secure
  • Work with Microsoft and EUR’s IT department to ensure that the hosting system continues to meet requirements, and that the software remains legally compliant and fit for purpose
  • Act as first point of contact for technical- and data-related enquiries
  • Manage the integration of the alumni database with other data systems, including OSIRIS, the university’s student data system.

Requirements

Required qualifications

  • A bachelor degree, preferably in IT, Business Administration or Business Information Systems
  • At least five years of experience in a technical support role working with Microsoft Dynamics CRM
  • A good working knowledge of general data protection regulation (GDPR) and legislation
  • Ability to manage and analyse large volumes of information and data
  • Ability to explain complex concepts and processes to non-technical colleagues
  • Strong interpersonal skills, with the ability to build and maintain effective relationships with a range of stakeholders
  • A good understanding of the principles of data and database management
  • A genuine interest in higher education and alumni relations
  • Experience of database support or administration
  • A good understanding of management information systems
  • Experience of data analysis and problem solving
  • Fluent or near-native Dutch and English (min. B1), written and spoken, are both required. You will be dealing with an international network of alumni, as well as Dutch suppliers and stakeholders.

The conditions of employment comply with the collective labour agreement for Dutch Universities (CAO NU). Salary is subject to training and experience and may vary from a minimum of €2,709 up to a maximum of €4,274 (scale 10 CAO NU) gross per month, based on a full-time contract of 38 hours.

The attractive benefits package includes an end-of-year bonus of 8.3 per cent, holiday allowance of 8 per cent, extensive leave facilities for a healthy work-life balance (41 days a year based on a 40-hour work week), and a good pension fund.
