Job description

Are you accurate and efficient when working with different IT systems? Can you communicate on a professional level in English and Dutch, both in speaking and writing? And can you juggle a variety of different tasks at the same time? Then you could be the new programme assistant MSc programmes (temporary, 0.8 FTE)

Role

Make an impact and contribute to quality education, providing valuable support to our MSc programmes, students, and teaching staff.



Your main tasks
  • General administrative support to MSc Programme Management
  • Contribute to preparation of a variety of educational activities (e.g. student enrollment/course registrations, grade registration, thesis coordination)
  • Creation/preparation of student communication materials
  • Handling ad hoc student and instructor e-mail correspondence and assistance
  • Organisation of student social- and orientation events and seminars
  • Database entry and updates
  • Data collection and preparation of reports and quality assurance material
  • Creation of certificates, grade lists/transcripts
  • Website updates
  • Support for Programme Committee activities

Requirements

  • Minimum HBO or equivalent
  • Minimum 2 years in a similar role as administrative assistant or programme assistant
  • Excellent command of English and Dutch (both minimum CEFR level C1, speaking and writing)
  • Generally good communication skills (speaking and writing)
  • Advanced knowledge of and experience with the MS Office suite (especially Outlook, Word, Excel, and PowerPoint);
  • Strong organisational skills
  • Affinity and experience with administrative processes, databases, and analytic IT tools
  • Ability to understand and balance micro- and macro-processes

Fixed-term contract: 4 months.

The department, situated on the 5th floor of the Mandeville Building on Erasmus University's Woudestein Campus, is headed by the Dean of Education and consists of several teams in programme management, recruitment & admissions, study advice, business intelligence, international office, examination board support, and a career centre. Our MSc Programme Management team supports the educational processes of around 3,000 international students in 13 Master of Science programmes. You will be part of an international, diverse team with currently 11 direct colleagues, but will also have contact with students, teaching faculty, neighbouring teams, and occasionally external parties. Availability in evenings and on weekends may very occasionally be required during events such as open days or graduations. Depending on persisting pandemic regulations, work from home might initially still be partially required, but in principle, on-campus work will be desired at least 50% of the time. A notebook computer and accessories will be provided.

The conditions of employment comply with the collective labour agreement for Dutch universities (CAO NU). We offer a contract of 30.4 hours per week, initially until beginning of 2022.

Salary is subject to training and experience and may vary from a minimum of € 2,656 up to a maximum of € 3,548 gross per month (scale 8 CAO NU), based on a full-time contract of 38 hours per week.

Department

The operative administration of the different study programmes is organised via programme management teams, headed by an Executive Director. The tasks of these teams include educational logistics, finances, quality assurance, portfolio innovation, and programme-related communication. The teams are also responsible for the functional liaison with the academic directors, the course instructors, the examination board, the study advisers, the international office, and the programme committees, as well as with the corporate units recruitment & admissions, career centre, corporate & alumni relations, and corporate marketing & communications.
