Job description

The department of Business-Society Management is looking for a secretary. You'll be working at a top international business school.

The department has about 45 international faculty members at full/associate/assistant professor level, plus lecturers and programme co-ordinators, PhD students and a secretariat of two secretaries. Together we are responsible for teaching several bachelor courses and a master programme in Global Business and Sustainability with 150 students, and conducting impact-oriented academic research.

You will support the department and its members with all secretarial and administrative tasks such as HR matters, correspondence, administration systems, planning and organizing small and bigger seminars and events, housekeeping issues, and ad hoc and temporary projects. Because of the international character of the department, communication is in both English and Dutch.

Your main tasks
Main tasks may include but are not limited to:
  • being point of contact for faculty members from our department and other departments, students and external parties
  • email correspondence and mail handling
  • Scheduling of meetings
  • HR support: for example, using HR data systems to maintain hiring systems for staff and student assistants
  • assist in administration and organising all kinds of seminars and other events
  • place and process all orders for the department such as books, IT equipment, catering and stationery, through Erasmus University's systems
  • make arrangements for travel and accommodation
  • provide hands-on support during events on campus and online
  • household matters and logistics for the department
  • work with other support staff for education and communication in the department to make sure the department's services run smoothly.

Requirements

For this role, you need a secretarial or administration background at mbo- or hbo-level.

Your required competencies
  • Demonstrated experience in support or secretarial roles (preferably in higher education institutions)
  • Team worker: demonstrated experience working in a team environment with ability to work independently within supervisory guidelines
  • Excellent organisational skills with attention to detail and quality of work
  • Excellent written and oral communication skills, both in Dutch and English (CEFR C1)
  • Problem-solving skills
  • Service-oriented, proactive and flexible

Conditions of employment

Fixed-term contract: 12 months.

You would be initially appointed for 12 months, starting as soon as possible, with a view to a permanent contract after this.

You will be working in the department of Business-Society Management at RSM's Woudestein campus in Rotterdam. Working from home is negotiable but you would be expected to work at least two days per week in the office.

Working hours will be regular office hours.

The conditions of employment correspond with the collective labour agreement for Dutch Universities (CAO NU).

This position is classified as Secretary of the VSNU job classification system and the salary will be in scale 6 - 8, based on education and working experience. It is for 32 hours per week (0.8 FTE).

Salary is subject to training and experience and may vary from a minimum of € 2,402 (scale 6 CAO NU) up to a maximum of € 3,764 (scale 8 CAO NU) gross per month, based on a full-time contract of 38 hours.
