Job description

As CFIA administrative and organizational support officer you will have the following tasks and responsibilities.
Largely independent organization of meetings and events, including bi-weekly management meetings, seminars, a bi-annual workshop, and a bi-annual conference. Responsibilities include, but are not limited to:

• Planning dates, locations together with the CFIA team
• Regular review of planning to make sure this is in line with frequently changing agendas while ensuring communication to all stakeholders is consistent.
• Liaising and communicating within CFIA and with possible co-organizers for an event.  
• Liaising with suppliers for event services (including accommodation, venues, technical equipment).
• Oversight of financial / administrative / organizational tasks surrounding an event including hotel bookings, organization of dinners, lunches, catering, visa /invitation letters; and flights.
• Creating information brochures with all the required information for travel and participation (when appropriate).
• Management of registration for CFIA events.
• Minute taking for management meetings / events

Support for (project) administration for CFIA. This includes but is not limited to:
• Ensure CFIA folders and archives are up to date.
• Filing of contracts, agreements and supporting documents for the CFIA administration.
• Support for payment of invoices / expense claims CFIA
• Preparing and filing expense claims following travel or events for approval

Support for communication. This includes but is not limited to:
• Help with the development of the communication strategy, and actual implementation of the strategy. This  includes but is not limited to:
• Posting on social media
• Maintenance / placement of articles on the CFIA website
• Support the development of the CFIA newsletter
• Specific marketing / communication on CFIA events (conferences, seminars e.g.)

Any other form of administrative support to CFIA deemed appropriate.
The administrative and organizational support officer will report to the Center Manager, David Wubs-Mrozewicz.

Requirements

• Training and proven experience in administrative support
• Experience in (providing support) in organization of events
• Affinity with international development / working internationally
• Experience with social media, communications
• Strong intercultural communications skills
• Verbal and written fluency in Dutch and English

 

Conditions of employment

The position is initially until the 31st of December 2018, with a chance for renewal of the contract.
The preferred starting date is as soon as possible.

In accordance with the conditions applied at Erasmus University Rotterdam as indicated in the Collective Labour Agreement (CAO NU) of the Dutch universities, the salary is dependent on the candidate’s experience, and ranges from €2.465 to €3.292 gross per month (CAO NU scale 8) based on a full time appointment.

Secretariat/ support team of CFIA
The Secretariat / support team of CFIA is located within the International Institute of Social Studies of Erasmus University Rotterdam, and provides support to the CFIA management team and to academic staff at the three universities that cooperate within CFIA. CFIA is led by Professor Dr. Peter Knorringa (director) of EUR and based at ISS, together with Prof. Dr. Cees van Beers of Delft University of Technology, and Dr. Andre Leliveld of Leiden University.

Centre for Frugal Innovation in Africa
The Centre for Frugal Innovation in Africa was founded in 2013 as one of the Leiden-Delft-Erasmus centres as part of the strategic alliance between Leiden University, Delft University of Technology, and Erasmus University Rotterdam.
