Job description

The new head of the OSA:

  • Is in charge of the Office of Student Affairs.

  • Ensures efficient and client-oriented organisation of education management support processes within the faculty.

  • Translates educational policies into transparent and effective administrative processes.

  • Monitors correct application of formal legislation and regulation.

  • Anticipates and contributes to strategic developments within the faculty.

  • Provides guidance to implementing projects, such as those pertaining to streamlining the educational information supply.

  • Participates in university-wide and faculty-wide deliberative bodies aimed at identifying developments and coordinating operational processes.

  • Closely collaborates with the FASoS support staff’s cluster coordinators in operational management of educational processes.

  • Communicates with stakeholders inside and outside the faculty and ensures proper coordination of the faculty’s educational activities.

Requirements

  • You are an experienced, communicative and enthusiastic supervisor, service-oriented and able to streamline the processes that underlie the student life-cycle within the faculty.

  • You have the flexibility to balance between the needs of students, academic staff and the support staff while keeping in mind the goals of the FASoS strategy ‘Smart Choices’.

  • You have proven ability in leadership and are well aware of the processes and deliverables that are part of an academic educational organisation.

  • You work in a transparent and efficient way and are able to motivate your staff to perform in accordance to their expertise and abilities.

  • You have strong communicative skills, and sound proficiency in oral and written language, both in Dutch and in English.

  • You have an academic mindset and a Master degree in a field relevant to the position.

  • You can demonstrate having experience in a relevant position in (academic) education.

  • You have at least five years of experience in a leadership position.

  • You have a proactive, result-oriented professional attitude.

  • You are service-oriented and sensitive to overall organisational concerns.

  • You have a pragmatic and analytical mindset geared to solving problems.

  • You have insight in and experience with the development and enhancement of complex operational processes.

Conditions of employment

Fixed-term contract: 2 years.

Specifically, we offer a 1.00 fte appointment for 2 years. In case of good performance and equal prospects for the faculty, a fixed appointment will be offered after one year. 

Remuneration will be according to standard salary levels, depending on education and relevant work experience. This implies a minimum of € 3.475,- and a maximum of € 5.405,- gross per month for a full-time appointment of 38 hours per week (salary scale 11/12, Dutch Universities Conditions of Employment). 

Each year the standard salary is supplemented with a holiday allowance of 8% and an end-of-year bonus of 8.3%.

Department

The Office of Student Affairs (OSA) is an operational unit within the faculty that facilitates all educational processes that play a role in the so-called student life-cycle. Legislation, rules, guidelines, safety protocols, UM wide agreements and deadlines are leading in carrying out the tasks that underlie the educational processes. These are predominantly administrative, logistical, management and education management supporting tasks.
Due to the continuously changing environment (due to legislation, program changes, policies, digital developments, etc.), flexibility is important within the OSA as is the willingness to adapt the work to innovations or new quality requirements.
The staff resided in the OSA (about 20 people, 16 fte) works in teams. These are: Admissions, Front office, Planning, Exams, Service desk, Board of Examiners and International office. The OSA is organised in such a way that staff members can be deployed on different teams. This enables the office to deal with peak and off-peak periods and to ensure timely and correct handling of the student life-cycle.  

The Faculty of Arts and Social Sciences (FASoS) has about 250 staff members, and about 1,600 students. More than 76% of the students are non-Dutch (64 different nationalities). All programmes are offered in English and some are also offered in Dutch. FASoS offers two 3-year bachelor’s programmes: Arts and Culture and European Studies. It also offers eight different 1-year Master’s programmes and two 2-year research master’s programmes. Research is organised around four programmes: Politics and Culture in Europe; Science, Technology and Society Studies; Arts, Media and Culture; and Globalisation, Transnationalism and Development. The Faculty of Arts and Social Sciences is housed in the historic city centre of Maastricht.
