Within the IO, the Study Abroad & Exchange team is seeking a full-time Study Abroad & Exchange Coordinator (2 positions of 0.8 fte)

Job description

The Coordinators guide students regarding student exchange by advising, selecting and preparing students for their experience, and by maintaining close working relationships with partner universities within a specific region. The Coordinator manages either a large portfolio of Erasmus+ agreements with institutions in Europe or global agreements with institutions in Asia & the Middle East. The Coordinators are responsible to further the strategic goals and mission of Tilburg University and to contribute to the goals of the IO. Within our team, the Coordinators will be working closely with the Study Abroad Assistants, responsible for supporting the administrative processes, the International Relations Managers, responsible for the contracts with our partner universities, and the other Study Abroad & Exchange Coordinators,

 

Key responsibilities:

  • One Coordinator will have the responsibility to oversee a portfolio of exchange programs within the following European countries: Albania, Austria, Belgium, Bosna & Herzegovina, Bulgaria, Croatia, Czech Republic, Denmark, Estonia, Finland, Germany, Greece, Hungary, Iceland, Latvia, Lithuania, Norway, Poland, Romania, Slovakia, Slovenia, Sweden, Switzerland, Turkey, and the Ukraine; and
  • One Coordinator will have the responsibility to oversee a portfolio of exchange programs within the following Asian & Middle East countries: China, Hong Kong, India Indonesia, Japan Kazakhstan, Pakistan, Philippines, Singapore, South Korea, Taiwan, Thailand, Russia, Israel

 

Within your specific region, you will be responsible for the tasks as listed below:

  • Serve as the lead contact for your partner universities, including contact in case of emergency or other exceptional situations, solving problems/issues before/if they arise.
  • Meet/communicate with staff from the partner universities to help develop and maintain good working relationships.
  • Represent Tilburg University and the IO at (international) network events and/or conferences.
  • Manage the student exchange agreements within these regions, including assistance in facilitating timely contract renewals and maintaining a balance of incoming and outgoing students.
  • Make recommendations to the International Project Manager & Policy Advisor and the International Relations Manager and the team leader of the Study Abroad & Exchange team regarding changes or adjustments to programs and agreements as necessary.
  • Recruit both incoming and outgoing students by marketing the exchange programs offered by your partner universities to Tilburg University students and vice versa;
  • Advise students about the academic and cultural aspects of these countries and your partner institutions.
  • Review applications and select students.
  • Inform incoming and outgoing students about the procedures involved before, during and after selection, assisting them towards a successful study abroad experience.
  • Deal with questions from students before, during and after their exchange period, identifying issues and resolving them appropriately.

 

As part of the Study Abroad & Exchange team, you will also be responsible for the following non-region specific tasks:

  • Serve as the first point of contact for the front office, dealing with phone calls, e-mails and face-to-face enquiries.
  • Advise students about the Erasmus plus mobility scholarship program and assist them with the required administration.
  • Give presentations to groups of students and meet them individually to give advice.
  • Liaise as necessary with various departments on campus e.g. Education Support Teams of the Schools, Student Development. Act as a resource to Educational Coordinators and Schools on matters relating to student exchange.
  • Assist other team members in matters including intercultural communication, orientation, re-entry, and introduction events.

Requirements

The most successful candidates must have:

  • a Master’s degree;
  • at least one semester’s experience studying, living and/or working abroad;
  • a basic understanding of study abroad and exchange programs;
  • demonstrated a strong customer service focus;
  • experience in student or academic advising;
  • a strong understanding of issues impacting diverse student populations;
  • excellent administrative skills;
  • the ability to adapt to changing demands and priorities (including the ability to prioritize workload);
  • the ability to work effectively, accurate and efficiently in a demanding and dynamic environment;
  • excellent communication skills in both English and Dutch, including a proven ability to successfully speak in front of large audiences;
  • the flexibility to work occasional evenings and weekends.

 

Furthermore, we prefer candidates who have:

  • experience working in a study abroad office and/or in higher education;
  • knowledge of the Erasmus plus scholarship program;
  • a demonstrated expertise in the designated geographical region;
  • speak a third language (preferably a language spoken within the designated geographical region)

Conditions of employment

Tilburg University is rated among the top of Dutch employers and has excellent terms of employment. The selected candidate will be ranked in the Dutch university employment system as “medewerker internationalisering 3”, scale 8. The gross salary for a full-time appointment is maximal €3445,- per month, based on education and experience. The successful candidate will be offered a temporary contract for one year.
