This post is vacant in the faculty Office of Student Affairs. The office is responsible for the administrative process running smoothly and answering staff and student questions regarding administration issues. Other major responsibilities are student advice and internationalisation.

Job description

The new colleague we are looking for will start in the Front Office/Master Admissions team. The colleague we are looking for will perform the following tasks, after an initial training period, according to a schedule formulated by the team leader, whereby peak periods serve as a guiding principle:

• Staff the Front Office desk (primary faculty student services) including back office tasks.

• Provide information to (upcoming) students.

• Provides information to staff (including reports from SAP/SLM).

• Works closely together with the Marketing and Communication department in order to have the most updated information on the website.

• Act as contact person for various stakeholders (such as academic staff, support staff, students) both within and outside the Faculty.

• Supports the Student advisor by acting as an intermediary between student and Student Advisor(Special) Course registrations within the applicable timeframe.

• Providing certified transcript and declarations.

• Registration of non-regular students.

• Coordinate the handling of bachelor and master applications (and processes these in SAP/SLM).

• Coordinate the handling of Scholarship applications.

Depending on the needs of the faculty Office of Student Affairs and development of the new colleague, he or she might be affiliated to other teams and might be given other tasks.

Requirements

• This new officer has completed a relevant MBO+/HBO degree in the field of administrative work and/or evidence of experience in a similar job/intellectual level.

• Is a true team player and is able to contribute to meetings in creative ways and strike a balance between being flexible and being proactive and assertive.

• Is fluent in English and Dutch, in written and oral communication (an English test might be a part of the selection procedure).

• Is able to work with Microsoft Office applications. Having experience in working with SAP SLM is a plus.

• Has no dislike of bulk activities and is able to shift gears quickly.

• Is accurate, efficient, service-oriented and immune to stress.

• Has a drive to deliver high quality work.

• Has a sense of proportion regarding interactions and (cultural) diversity within the academic community.

• Has a proper sense of perspective in university-wide interactions.

• Is capable of giving and receiving feedback effectively.

• The staff member works with data, which are confidential and sensitive to fraud, which is why a discreet job attitude is called for.

• Regarding working hours/days in peak periods, some measure of flexibility is needed during six weeks per year on average (announced in advance).

In terms of our organisation, you are a member of the faculty Office of Student Affairs.

Specifically, we offer a 0.70 fte appointment for 1 years. In case of good performance and equal prospects for the faculty, the contract will be continued for another year. A fixed appointment is possible after three year.

Remuneration will be according to standard salary levels, depending on education and relevant work experience. This implies a minimum of € 2.329,- and a maximum of € 3.548,- gross per month for a full-time appointment of 38 hours per week (salary scale 7/8, Dutch Universities Conditions of Employment).

Each year the standard salary is supplemented with a holiday allowance of 8% and an end-of-year bonus of 8.3%. Other secondary conditions include e.g. partially paid parental leave.

You have to be willing to move to (the vicinity of) Maastricht. If you do not already live in Maastricht (or its direct surroundings) you will be eligible for an allowance for moving costs. If you do not already live in Maastricht (or its direct surroundings) you might be eligible for an allowance for alternative housing.
