The Department of Mathematics and Computer Science of the Eindhoven University of Technology is looking for a domain secretary and coordinator work allocation

Job description

The team management support and research policy of the department of Mathematics and Computer Science supports the department board both at an organizational and strategic level. The team is responsible for the preparation of agenda's, meeting documents, presentations for meetings of the board, as well as the gathering and providing of management information.

The current vacancy specifically concerns the support of the meetings of the three departmental management domains Mathematics, Computer Science and Data Science. The respective vice-dean and cluster chairs for each domain have regular meetings about domain specific issues (finance, personnel, work allocation, education processes, research and strategy) and they prepare advice for the department board concerning departmental and university policy.

As secretary you will be responsible for the optimal support of the meetings of the management teams of the departmental domains Mathematics, Computer Science and Data Science. This concerns support both at secretarial, strategic and organizational level. You are responsible for the preparation and reporting of the meetings, warranting the execution of the action points and the follow up on decisions that were made by the management teams. Furthermore, you will gather and provide information and documentation for the meetings and archive the meeting documents. You will carry out these activities in close cooperation with the board secretary and the chairs of the three domain management teams.

As coordinator of the work allocation you will ensure the timely execution of the process for settling the work allocation for education tasks for the upcoming academic year. In close cooperation with the education program directors and the department board you handle the alignment of the allocation of education and management tasks for the different clusters in the department.

You empathize well with the various levels. You are persistent, flexible and result oriented.

You will be part of the team management support and research policy. You are prepared to handle or support other tasks within this team, where necessary. You will report to the board secretary of the department.

Requirements

  • Academic degree (or HBO+)
  • Honorable and accurate
  • Excellent planning and organization skills and well-structured in your work
  • Excellent communication skills (written and oral). High proficiency in Dutch and English
  • Able to quickly shift between various groups and able to handle many tasks simultaneously
  • Both independent and team-player, where sincerity and collegiality are prized
  • Stress resistant and very well capable to deal with deadlines
  • Connecting personality, sensible to corporate governance structures and able to build trust
  • Preferably affinity with mathematics, computer science and/or data science in higher education and research

  • The salary will depend on your knowledge, experience and education, and will be a minimum of € 2,790.- and a maximum of € 4,402.- gross per month on a full-time basis (scale 10 Collective Labor Agreement for the Dutch Universities).
