The Faculty of Arts and Social Sciences (FASoS) at Maastricht University (UM) has three secretary teams. One for the faculty board and faculty council, one for the departments History and Literature and Arts and one for the departments Society Studies, Philosophy and Political Sciences.
FASoS wants further develop and professionalise the secretariats, expand mutual collaboration (both within and between the secretariats) and preserve and foster the pleasant and collegial atmosphere.

Job description

We are currently looking for a secretary to combine support of the faculty board and director, the faculty council and FASoS departments on administrative & organizational issues. We are looking for an enthusiastic, pro-active, organized and sociable professional. You are able to work independently and you are a team player, flexible and able to multitask. You have affinity with an international higher educational and research environment, like to take initiative, are both process- and result driven and pay attention to detail.

You will act as secretarial and administrative manager for the faculty board, the faculty council and help in the other secretary teams where you will act as secretarial and administrative manager for heads of the Departments and other members of the departments.

In this job you will:

  • Act as the first point of contact for the dean – director and department
  • Carry out secretarial duties independently and proactively: incoming and outgoing mail, telephone communication, administrative support, agenda management, and etcetera.
  • Organize meetings/events, take minutes and monitor deadlines.
  • Collect, process and provide management information.
  • Monitor budgets and assist with preparing progress reports.
  • Carry out secretary tasks for the different FASoS departments.
  • Translate University regulations, policies and procedures into local practice
  • Arrange travel plans and organise travels and reimbursements
  • Assist in hosting guests and organizing meetings and activities

You have excellent writing and verbal communication skills and can interact with a variety of people ranging from support staff to academic staff members to students.   • You have a relevant degree on at least MBO level and a number of years of relevant experience in a similar function

  • You have an excellent command of English and Dutch both in oral and written communication

  • You will be able to organize your workload and set clearly defined priorities.
  • You can reflect on your own performance and you use feedback in order to develop yourself and others.
  • You made the transition from paper to digital. You are proficient in using the latest version of the Microsoft Office package (Word, Excel, PowerPoint, Access, e-mail and web searches) and you get easily acquainted with other (administrative) systems.
  • Accurate and able to forecast what actions will be needed.

In terms of our organisation, you are a member of the Faculty Office. 

Specifically, we offer an 1.0fte – 0.8fte appointment for 1 year. Thereafter, in case of good performance and equal prospects for the faculty, a tenure appointment will be offered.

Remuneration will be according to standard salary levels, depending on education and relevant work experience, in salary scale 7 (between € 2.367,- and a maximum of € 3.196,- gross per month, based on a fulltime appointment) according to the collective labour agreement (CAO) of Dutch Universities (UFO-Profile Secretary level 2).

Each year the standard salary is supplemented with a holiday allowance of 8% and an end-of-year bonus of 8.3%.

(A preliminary scale might apply in case the suitable candidate has yet to develop certain professional skills.)

You have to be willing to move to (the vicinity of) Maastricht. If you do not already live in Maastricht (or its direct surroundings), you will be eligible for an allowance for moving costs. If you do not already live in Maastricht (or its direct surroundings), you might be eligible for an allowance for alternative housing.

Other secondary conditions include e.g. a pension scheme and partially paid parental leave.

You will be provided with shared office space and a PC.

Faculty of Arts and Social Sciences

The Faculty of Arts and Social Sciences (FASoS) has about 250 staff members (of which a great part is non-Dutch), and about 1,600 students. FASoS offers four 3-year bachelor’s programmes: Arts and Culture, European Studies, Digital Society, and Global Studies. It also offers eight different 1-year master’s programmes and two 2-year research master’s programmes. Research is organised around four programmes: Politics and Culture in Europe; Science, Technology and Society Studies; Arts, Media and Culture; and Globalisation, Transnationalism and Development. The Faculty of Arts and Social Sciences is housed in the historic city centre of Maastricht.
