QuTechQuTech is a mission-driven research institute run jointly by Delft University of Technology (TU Delft) and the Netherlands Organisation for Applied Scientific Research (TNO). Together, we work on a radically new technology with world-changing potential, developing scalable prototypes of a quantum computer and an intrinsically safe quantum internet.

Our research and engineering activities are conducted in three divisions: Quantum Computing, Quantum Internet and Qubit Research. Our three divisions and the board (Director of research, Director of Operation and Director of Business Development) are supported by six Management Assistants. All with their own set of responsibilities. Today we are looking for a new Management Assistant to support prof.dr. Stephanie Wehner.
Dr, Stephanie Wehner is Professor in Quantum Information and the Director of the European Quantum Internet Alliance. She is a member of the Royal Dutch Academy of Arts and Sciences, has won a KNAW Ammodo award, and is one of the founders of QCRYPT, which has become the largest conference in quantum cryptography.

Job description

Your responsibility as a Management Assistant.

Your main role will be to support prof.dr.Stephanie Wehner in her day-to-day work and oversee her agenda. This is a challenging role and for this reason, we are looking for an experienced Managing Assistant.

Your responsibilities will include.

  • Managing a complex and hectic agenda (planning meetings, rescheduling…)
  • Acting as the central contact point for internal and external stakeholders
  • Setting priorities, filtering incoming information and arranging her schedule accordingly
  • Organizing and taking minutes during meetings
  • Arranging travel from A to Z
  • Supporting project administration and coordination
  • Monitoring purchasing process and status of orders
  • Maintaining and updating several web pages

Requirements

You are an expert in your field, someone extremely details driven with a proactive attitude who further possesses:

  •  At least Higher Vocational Education (HBO) level
  • Over 5 years’ experience in an international setting
  • Experience as a PA in a demanding environment 
  • Professional attitude where customer orientation, collegiality and tact come together
  • High stress resistance and flexibility: changing priorities and dynamics are no problem
  • Decisiveness and a proactive attitude: you see bottlenecks coming and resolve them
  • Excellent command of English; Dutch and German would be a plus
  • High Accuracy and good PC skills
  • Dutch citizenship or a European work permit

Conditions of employment

Fixed-term contract: One year.

The Management Assistant position is a 0.8 – 1.0 FTE role, with a minimum of 32 hours per week and a maximum of 38 hours per week. Appointment is for one year, with the option to become structural. The UFO profile is Management/Office Assistant 1, with a full-time salary based on VSNU-CAO Scale 8 (salary min 2.818 and max 3764 Euros gross per month on a fulltime basis). The actual salary will be based on your knowledge and relevant work-experience.
