The Department of Bioinformatics at Maastricht University, located at the campus in Randwyck, is looking for a new Administrative Secretary to support our research department of about 20 researchers. We are a very international team and work with many other research groups in the health and disease field.

Job description

We are seeking an energetic and capable Administrative Secretary to assist us with the office administration. Your tasks will include:

  • Coordinating department office;
  • Answering calls, taking messages, and handling correspondence;
  • Maintaining and keeping an overview of agendas and arranging appointments;
  • Planning and booking travel arrangements;
  • Maintaining an overview over filing documents, entering data, and maintaining databases (e.g. project documents, contract runtimes, sick and vacation leave for department members);
  • Organizing and servicing meetings (arranging rooms and catering);
  • Checking frequently the levels of (office) supplies and place appropriate orders;
  • Documentation and processing of expenses;
  • Directing internal and external post;
  • Supervise, support, and facilitate the completion of regular reports;
  • Implementing new procedures and administrative systems if required;
  • Monitoring and organizing recurring tasks.

Requirements

  • Proven work experience as a Secretary or Administrative Assistant in a comparable environment;
  • Familiarity with office organization (experience with UM or comparable systems is advantageous);
  • Strong planning skills and time management capability;
  • Efficiency and ability to maintain oversight in various work fields;
  • Excellent written and verbal communication skills in Dutch and English;
  • Proficiency in MS Office;
  • Integrity and professionalism;
  • Good collaboration and communication skills.

Conditions of employment

This concerns a temporary contract of 0.6 FTE, for a period of 1 year, with the prospect of permanent employment. 

Depending on experience and qualification, the maximum gross monthly salary is
€ 3,336 (on a full-time basis) in accordance with scale 7 of the Dutch university collective bargaining agreement. An 8% holiday and an 8.3% year-end allowance is also provided.

Department of Bioinformatics
The Department of Bioinformatics has an international and interdisciplinary team working in close collaboration with other scientists and institutions worldwide. Founded in 2001, the research group is part of the NUTRIM School of Nutrition and Translational Research in Metabolism at the Faculty of Health, Medicine and Life Sciences at Maastricht University. The department is led by Prof. Chris Evelo and has currently 5 assistant professors, 5 postdocs, 6 PhD students, and 3 technical assistants.
