Job description

Do you like variety in your work, are you flexible and do you master administrative systems quickly? Then you have a part to play as a secretary within the Department of Artificial Intelligence. You are the point of contact for administrative questions, and you arrange all management matters down to the last detail. In this way, you contribute to a pleasant working environment for our scientists, teachers and support staff.

The Department of Artificial Intelligence and the Educational Institute of Artificial Intelligence have an opening for a secretary to support both research and teaching. We are seeking an all-round secretary. You will act as a point of contact for queries from staff, students and external parties. You will monitor and administer all personnel matters of the department (vacancies, contracts, introduction of new staff, organisation of their work places, IT, absence registration, etc.). You will be the contact person for the personnel department. You will support researchers on various levels (maintaining contacts with external parties, performing database maintenance, ordering research material, keeping records of articles, social media and website publications, etc.). You will prepare and supervise events, such as thesis presentations, graduation ceremonies and symposia, and you will organise research and other meetings and take minutes. You will manage the agendas of senior staff in the department, make appointments, reserve meeting rooms, order catering as well as other practical and logistical matters such as stock and material orders and housing issues.

Requirements

  • You have received professional training in secretarial work, preferably Schoevers or equivalent.
  • You have at least two years of relevant work experience. 
  • You are fluent in spoken and written English and Dutch. 
  • You are flexible, proactive, accurate, immune to stress and result-oriented. 
  • You have experience with taking minutes. 
  • You have excellent knowledge of the MS Office package and the skills and ability to work with all kinds of ICT systems. 
  • Preferably you are used to working in a science environment with academic staff and have experience with working in a large organisation.

Conditions of employment

Fixed-term contract: It concerns a temporary employment for 1 year, with the prospect of a permanent position after positive evaluation.

  • It concerns an employment for 0.5 FTE.
  • The gross monthly salary amounts to a minimum of €2,471 and a maximum of €3,336 based on a 38-hour working week, depending on previous education and number of years of relevant work experience (salary scale 7).
  • You will receive 8% holiday allowance and 8.3% end-of-year bonus.
  • It concerns a temporary employment for 1 year, with the prospect of a permanent position after positive evaluation.
  • You will be able to use our Dual Career and Family Care Services. The Department of Artificial Intelligence is part of the Donders Centre for Cognition (DCC), which is one of the centres of the Donders Institute for Brain, Cognition and Behaviour. This research institute is home to more than 600 researchers from 35 countries, and a world-class research centre devoted to understanding the mechanistic underpinnings of human cognition and behaviour in health and disease. English is the lingua franca at the institute. The Educational Institute of Artificial Intelligence (AI) is embedded in the Faculty of Social Sciences. AI staff members are employed by both DCC and the Educational Institute and are therefore involved in research as well as teaching. The Bachelor's, Pre-Master's and Master’s programmes in Artificial Intelligence are international programmes and are therefore English-taught. Staff and students come from different backgrounds and cultures. Over the last few years, the number of students and staff has increased considerably. You will work closely with DCC’s degree programme director, programme manager and secretary. The position will be embedded in the Department of Artificial Intelligence; your supervisor will be Susanne van Helden.
