Job description

As Management /Office Assistant at the Maastricht School of Management (MSM), you will have a versatile, varied job with various administrative, organizational and planning tasks within an inspiring international organization. You will contribute to the smooth functioning of the organization by providing adequate secretarial and administrative support to the management team and the planning and organization of various activities and events.

Responsibilities:

  • Provide secretarial and administrative support to the Management Team of MSM, including agenda management and the coordination and preparation of MT meetings and follow up on action items;
  • Coordinate annual or quarterly (larger) meetings and events including dinner and hotel arrangements (e.g. staff meetings, business lunch/diners);
  • Ensuring effective internal and external communication, including answering phone calls, emails and managing mail;
  • Welcoming and guiding MSM guests, coordinate itineraries and ensuring their visits go smoothly;
  • Coordinating, optimising and controlling internal administrative processes and procedures (e.g. managing office supplies and ordering supplies as needed,  room reservations, catering, internal registration of external consultants/lecturers etc.);
  • Back up for MSM Travel office (e.g. organize travel arrangements , visa applications and align travel itineraries with local partners;
  • Various administrative tasks.

Requirements

We are looking for you if you are proactive, well organised, structured and accurate. You are good at setting priorities and have a friendly, firm personality and you enjoy working in a truly international environment. You take initiative, can handle a multitude of different tasks and monitor and anticipate administrative processes well. You are flexible, enjoy working independently, but also enjoy working together. In addition, you are able to learn and pick up things quickly, have a good sense of hospitality, a sense of humour and the ability to put things into perspective.

Furthermore, you have:

  • MBO+/HBO working and thinking level with an administrative/organisational background; 
  • Relevant work experience in a similar position; 
  • Excellent command of MS Office applications such as Outlook, Word, Excel, Powerpoint;  
  • Excellent command of English and Dutch, both oral and written;
  • Strong time-management abilities and the capacity to prioritize tasks effectively;
  • Discretion and sound judgment in handling confidential information.

Conditions of employment

Fixed-term contract: 12 months. If proven suitable, the employment contract will be converted into an indefinite contract;.

As a Management /Office Assistant at The Maastricht School of Management you will be employed by the most international university of the Netherlands, located in the beautiful city of Maastricht. In addition, we offer you:

  • Good employment conditions. The position is integrated in scale 7 according to the UFO Management/Office assistant, function level 2 with corresponding salary ranging from € 2.693 to € 3.636 gross per month (based on a full-time employment of 38 hours per week). In addition to the monthly salary, an 8.0% holiday allowance and an 8.3% year-end bonus are applicable;
  • An employment contract for a period of 12 months with a scope of 0.8 FTE. If proven suitable, the employment contract will be converted into an indefinite contract;
  • As family-friendly University, we offer flexible working hours and the possibility to work partly from home if the nature of your position allows it. You will receive a monthly commuting and internet allowance for this. If you work full-time, you will be entitled to 29 vacation days and 4 additional public holidays per year, namely carnival Monday, carnival Tuesday, Good Friday, and Liberation Day. If you choose to accumulate compensation hours, an additional 12 days will be added. Furthermore, you can personalize your employment conditions through a collective labor agreement (CAO) choice model;
