Job description

As executive secretary, you support the department, the chair of the Department and the MT. You are a member of the MT. You have overall responsibility for the operations of the department: preparing budgets and managing the project portfolios and monitoring the trend in results. You have a good overview of the current research activities, and you are the contact within and outside the department.

The department has a number of new initiatives, in both education and research, where you provide administrative support. You contribute to the department's visibility, internally and externally, by means of a good communications strategy at national and international level. You coordinate the submission of applications to the Netherlands Organisation for Scientific Research and the EU. You are involved in the consultation between the Faculty Secretary and other executive secretaries and also know when and how to take responsibility for faculty interests.

Up to now, the department has had a part-time executive secretary. We expect a full-time secretary  to analyse the current support procedure and reorganise it, with a view to providing more support and being able to take over tasks from the research group leaders, especially in relation to the department's project portfolio.

That makes this a fine position for someone who already is a executive secretary or who is keen to take up this challenge by using his or her expertise to build on this support position in a new context.

Requirements

You have the work ethic and mind-set of a degree-qualified professional and are familiar with/have experience in administration, business operations and management. You are able to translate developments in your working environment into strategy, operations and human resources. You are good at networking and are able to convey the needs of external parties to academic staff and vice versa. You are persuasive and good at planning and organisation. You have a talent for finance and a strong personality, are results-oriented and enterprising and conduct yourself with integrity; above all, you are a natural team-builder and are well attuned to interpersonal relationships and relations within the organisation. You have excellent multitasking skills. Accuracy and precision are second nature to you. You are an excellent communicator (in both spoken and written Dutch and English), independent and have solid organisational skills. You are able to perform in a professional environment.

Conditions of employment

Fixed-term contract: 2 years.

The position is for 32 to 40 hours a week (0.8–1.0 FTE). This is an appointment for 2 years. If you perform to satisfaction, the appointment may be converted into a permanent employment contract. The salary is dependent on skills, age and experience, based on scale 11 (maximum of €4,757 gross a month on a full-time basis).
