The Gate is looking for a part-time IP Administrator / Paralegal to join our IP Team. (On-site in Eindhoven, Netherlands | ⏱ 24 hours per week).

The Gate is the technology transfer office of the Technical University of Eindhoven (TU/e) and a platform for tech start-ups from the Brainport region in the early stage of their existence. We provide both physical and digital support to new entrepreneurs, helping them take off successfully. IP experts of The Gate offer independent advice and manage the IP portfolio of the TU/e, all with the shared goal of creating real-world impact from academic knowledge.

Information
As an IP Administrator / Paralegal, you will support the IP Team of The Gate in the establishment and administration of various forms of IP, mainly patents. Your responsibilities will include:
  • Assisting IP managers in developing, refining, and administering IP-related processes and documentation.
  • Maintaining accurate records of the TU/e IP portfolio and related IP contracts.
  • Entering, arranging, and managing documentation and other data in our IP management system, and helping ensure deadlines are tracked and met.
  • Filing (under the supervision of a patent attorney) documents, such as patent applications, along with other IP administrative tasks, in the European and US patent offices, and making arrangements to pay renewal/maintenance fees.
  • Gathering and organizing IP-related data for internal reporting.
  • Coordinating administrative matters with external IP service providers, for example, to ensure smooth and efficient communication and invoicing processes.

Requirements

We are seeking an enthusiastic, helpful, flexible, and proactive professional who is detail-oriented, has affinity with processes, and is keen on proper documentation.

Requirements:
  • 3+ years of experience in a legal or IP-focused administrative or paralegal role.
  • Ability to learn quickly and grasp complex concepts.
  • Strong inter-personal skills to effectively engage with a wide range of stakeholders - from TU/e students and academics to commercial partners.
  • Excellent organizational and time management skills to keep track of and effectively prioritize parallel processes.
  • Tech-savvy and comfortable working with digital tools.
  • Fluent in English; fluency in Dutch is a plus.

Conditions of employment

We offer a position for 0,6 FTE. You are right in the middle of the students, on a green campus within walking distance of the central station. Besides beautiful architecture, you will find varied workplaces and excellent sports facilities. We also offer you:
  • A monthly salary of minimum € 2.899,- to maximum € 3.809,- for full-time employment, depending on your knowledge and experience (scale 7 collective labour agreement for Dutch Universities).
