Job description

The Faculty of Arts and Social Sciences (FASoS) is currently recruiting a Student Affairs Officer Servicedesk Board of Examiners. This Servicedesk consists of two persons. We are looking for an enthusiastic colleague who is customer focussed, flexible and that has a collegial attitude to join our Servicedesk at the office of student affairs. As an Officer Servicedesk Board of Examiners you interact with a variety of stakeholders. Your main task is to support the vice-chair of the Board of Examiners (BoE) in student related courses. Furthermore, you interact with students and colleagues from offices within the Office of Student Affiars. Our Servicedesk also carries out tasks for the Faculty Board. In general, our Servicedesk performs the following tasks:

  • Under the authority of the Faculty Board performing the Binding Study Advice (BSA) procedure. The Servicedesk supports the BSA committee with the preparations for the meetings and takes care of the administrative completion;

  • Under the authority of the Faculty Board executing the Modern Migration (MoMi) procedure;

  • Selecting Marble and Honours candidates under the authority of the Faculty Board and delivering these selections to the Excellence coordinator;

  • Under the authority of the Board of Examiners taking care of student requests regarding the hardship clause, flexible bachelor, exemptions and other request regarding the Rules and regulations / EER. The Servicedesk is not only taking care of the administrative process, but is fully mandated by the Board of Examiners to decide upon individual student’s request. The Servicedesk is also responsible for communication to students and stakeholders in the faculty;

  • Preparing plagiarism and appeal cases for the BoE. The Servicedesk handles these cases together with the vice-chair of the BoE. Accordingly, the Servicedesk attends hearings with students and draws up advises and decisions regarding these cases. 

  • Compose advices regarding the education plans of the different programmes at FASoS.

  • Advising about and yearly implementing necessary changes in the EER;

  • Delivering management information on request;

  • Collecting data and setting up the yearly BoE report;

  • Drawing up procedures based on the EER for publication on FASoS Student Intranet.

Requirements

You are approachable and like to interact with students and (academic and support) staff and you are able to put yourself in their place. You are a good listener, have a practical attitude, and can think out of the box when it comes to solving problems.

Requirements for this particular vacancy are:

  • You have an Higher education degree preferably in law, or relevant work experience to compensate for a higher education degree;

  • Relevant working experience is an advantage;

  • You have at least general knowledge about administrative processes and ICT applications to support these processes (SAP, MS-Office);

  • You have excellent listening and communication skills;

  • You understand and know how to act upon legislation and ethical regulations concerning confidentiality;

  • You have an excellent command of English and Dutch (level C1), both spoken and written.

In terms of our organisation, you are part of the Office of Student Affairs. This office is responsible for the main administrative processes in the faculty and has a quality and customer focused culture. The Office of Student Affairs consists of several departments, amongst others the exams office, the international relations office, the student advisers, the Servicedesk BoE and the front office.

We offer a 0.8- 1.0 fte appointment as Student Affairs Officer, for one year. In case of good performance and equal prospects for the faculty, extension of the employment on a permanent basis is a possibility. The conditions of employment are excellent. Remuneration will be according to standard salary levels, depending on education and relevant work experience, in salary scale 9 (between € 2.835,- and € 3.895,- gross per month, based on a fulltime appointment) according to the collective labour agreement (CAO) of Dutch Universities, including 8% holiday pay and an 8,3% end of year payment. A preliminary scale might apply in case the suitable candidate has yet to develop certain professional skills.

The Faculty of Arts and Social Sciences (FASoS) has about 250 staff members, and about 1,600 students. More than 76% of the students are non-Dutch (64 different nationalities). All programmes are in English and some in Dutch as well. FASoS offers two Bachelor’s programmes: the BA Arts and Culture and the BA European Studies. It also offers eight Master’s programmes and two Research Master’s programmes.

Research is organised around four programmes: Politics and Culture in Europe; Science, Technology and Society Studies; Arts, Media and Culture; and Globalisation, Transnationalism and Development. The Faculty of Arts and Social Sciences situates in the historic city centre of Maastricht.
