Job description

Within the unit CES SOIR we are looking for an Exchange officer.

As an Exchange officer role (0,5fte):

  • You facilitate, administer and monitor the outbound exchange process with the 5 faculties for non-EU, UT wide partnerships and partner institutions;
  • You analyze, monitor and report on the process outcomes, developments, and growth trends of outbound Exchange for Non EU UT wide agreements via structural management information for the team leader as well as stakeholders in the UT organization;
  • You structurally meet with your colleague exchange support officers, the institutional exchange coordinator, the exchange coordinators on central and faculty level in the UT organization;
  • You work with the UT Mobility Online software.
  • You assist in organization of the Let’s go study abroad fair with the International Support unit in SOIR, define the needs for the Non EU UT wide partner institutes during events, take part in the fair and organize other promotional activities for non-EU, UT wide contractual partners;
  • You are the first point of contact for UT staff, and UT students for questions regarding daily operations of the outbound Exchange process for UT wide NON-EU partnerships.

As a Scholarship Officer (0,3fte):

  • You coordinate and administrate the OKP, MSP and StuNED scholarship programmes, and as such, you are responsible for the tactical imbedding and operational administration of aforementioned bursary grant;
  • You are the first port of call for Nuffic and Nuffic Neso offices, as well as UT staff, students and prospects in providing information on the aforementioned programmes’ framework, process, its recipients, and requirements;
  • You coordinate the receipt, execution of and reporting on payments (and quality thereof) of OKP, MSP and StuNED scholarship funds;
  • You co-prepare and carry out the scholarship policy and ensure the embedding of the OKP, MSP and StuNED scholarship processes in the UT community, including monitoring student progress for these scholarship programmes;
  • You maintain the contents of the Scholarship Finder database for your programmes;
  • You submit nominations and subsidy requests for your scholarship program (if applicable) on behalf of the UT per modality, per deadline.

Requirements

  • You have a bachelor’s degree or a comparable level of studies diploma and/or work experience;
  • You are precise, punctual, creative, communicative and solution oriented;
  • Experience with international scholarship programs is an advantage;
  • You identify yourself with an international educational environment and have developed ample intercultural communication skills;
  • Experience in project- and process management is considered a plus;
  • You are experienced in working with and the development of administrative systems and ICT;
  • You are well capable of quickly acquiring new knowledge, and translating it to relevant stakeholders;
  • You are capable in solving complex issues in a didactic and continuously developing environment, never losing sight of your clients’ needs;
  • You know how to prioritize and have a pro-active, professional and customer friendly attitude;
  • You have a good command of English (speaking, writing, reading & listening). Our minimum requirement is C1 (Advanced Cambridge). We may request you to provide IELTS, TOEFL or Cambridge test results or acquire additional English language training;
  • You are above all an honorable team player, yet are very capable to work and develop independently.
  • You work in the unit CES SOIR within the Centre for Educational Services. You report to the team leader SOIR; You are a member of the sub unit Scholarship Office.

Conditions of employment

We offer a temporary position of 0,8 fte (32 hours) in scale 8, conform the UFO profile Administrateur 3 for the duration of 1 year. A prolonging of the contract is part of the possibilities. Your salary entry level is dependent on educational background and work experience with a maximum of € 3.445,- (bruto), conform CAO-NU.
