Job description

At the Faculty of Sciences and Engineering (FSE) within the Office of Student Affairs (OSA), we are looking for a secretary to support us with all administrative, financial & organizational tasks.

The Office of Student Affairs (OSA) is the main point of contact for all students and staff. We serve two existing sciences master’s and a bachelor’s programme that will start in September 2021. The OSA team was established recently and consists of five colleagues all with a different role, background and experience but with a common wish to spend our time at work in the best possible way. To complement the team we are looking for an enthusiastic administrative professional who would love to help us make things work.

Your role in our team is to:

  • support your team members by providing secretarial assistance (e.g. schedule meetings, take minutes, help with accreditations, maintain office inventory).
  • process invoices and handle budgets.
  • help with HR tasks (process contracts InterUM, monitor yearly performance meetings, etc.).
  • take care of procurement.
  • assist with projects and events (i.e. prepare materials for distribution, create spreadsheets, event set-up and catering, ordering of supplies etc.).
  • maintain a network with other secretaries.
  • process all secretarial, financial and administrative tasks.
  • be the colleague to go to for all our administrative support who will make our lives easier.

Requirements

Job requirements

  • Thinking and acting at MBO/MBO+ level, by education and/or working experience.
  • Experience with and affinity for secretarial/administrative work is highly appreciated.
  • Excellent verbal and written communication skills in English are required.
  • Seasoned user of the Microsoft Office package.

Conditions of employment

Fixed-term contract: 1 yr.

We offer a fixed-term contract for 1 year with a competitive salary for this position of 38 hours a week (1.0 fte). Depending on evaluation, the position is eligible for extension.

The position comes with a number of additional benefits, including:

  • The gross month salary is between € 2.052,- and € 3.144,- based on a full-time contract (38 hours/week) and depending on qualifications and work experience (scale 6 or 7).
  • On top of your annual salary, there is an annual holiday allowance (8% of annual income) and an annual end-of-year bonus (8.3% of annual income).
  • Partially paid parental leave and a pension scheme.
