Job description

The Global Counterterrorism Forum (GCTF) Admin Unit is seeking an enthusiastic EVENTS MANAGER (38 hours per week/1 FTE) with a can-do attitude who will be responsible for the seamless delivery of multiple activities of different levels of complexity for mainly international stakeholders. The GCTF Admin Unit is a hosted by the Asser Institute, based in The Hague, and affiliated with the University of Amsterdam. The individual will be highly proficient in written and spoken English and have superior organizational, intercultural and interpersonal skills, as well as being capable of multitasking and working under pressure.

What are you going to do?

The Events Manager reports to the Head of Unit of the Global Counterterrorism Forum (GCTF) Administrative Unit and works closely with all other members of the team, specially the Program Manager for each event. The individual must be able to work independently and proactively in certain tasks, while in other tasks act as an active and flexible team member. The Events Manager is willing and able to work irregular hours, including weekend days, when required and to undertake travel abroad (*international travel conditions permitting).

The organisation

The Asser Institute is a research centre for international and European law, located in The Hague, with a high public and international profile. It's mission is to contribute to the development of international and European law by conducting independent fundamental research, policy-oriented research, and commissioned research, as well as by initiating and facilitating academic and expert meetings, (professional) education, and public events with a view to disseminating knowledge on international and European law.

The GCTF Admin Unit supports the overall management of GCTF-hosted activities, coordinating with the GCTF Co-Chairs and providing guidance to Working Group Co-Chairs, Initiative Leads and Implementing Partners. It is respondible for maintaining oversight of GCTF procedures and practices.

Tasks and responsibilities:

Preparing, planning, organizing, delivering and following-up on GCTF-hosted activities (e.g., plenary, expert and coordination meetings, workshops, consultations) abroad, in the Netherlands or virtually. Tasks include, but are not limited to venue identification; registration processes; preparation of correspondence related to the event (invitations and logistical arrangements), ongoing communication with participants, stakeholders and service providers; arranging logistical aspects such as transportation, catering, security, interpretation and accommodation; note taking.

The main tasks will include:
  • Information management-creating, maintaining and updating relevant files and documents, including guidelines and other procedural documents.
  • Building and maintaining relationships with colleagues across the GCTF community and at all levels.
  • Organizing and attending hospitality events related to GCTF-hosted activities.
  • Contributing to communications and outreach materials.
  • Performing other job-related duties as assigned.
  • All employees provide back up for one another.
  • Representing the GCTF Administrative Unit when appropriate.

Your experience and profile:

Candidates are expected to meet the following requirements and have the following competencies:
  • A relevant Bachelor's Degree or equivalent
  • At least three (3) years of recent, demonstrable event management in an international environment-experience organizing and delivering on-site events and virtual events is a must.
  • Experience in working in a multi-cultural and multilateral environment
  • Competent working in a deadline-driven, fast-paced environment

Conditions of employment

The position will be for an initial period of two (2) years with the possibility of extension. The University of Amsterdam/T.M.C. Asser Instituut is the formal employer of all GCTF Administrative Unit staff. The salary and benefits are in accordance with the employment conditions of the Collective Labour agreement for Dutch Universities and the Institute.

The gross monthly salary, based on 38 hours per week ranges from €3.098 tot €4.257. Remuneration depends on the level of experience, education and knowledge. Secondary benefits at Dutch universities are attractive and include 8% holiday pay and an 8.3% end of year bonus.
