Programme assistant MSc programmes(0.8-1.0 FTE) | Start date: 1 May 2019
… at Rotterdam School of Management, Erasmus University (RSM) to support our MSc programme management team. The team manages RSM's full-time master programmes portfolio, currently consisting of 14 MSc programmes, with about 220 courses, 120 teachers, and almost 2,000 students. You will collaborate with four programme managers, the executive director of MSc programmes, the dean of education, student assistants and a trainee, and with colleagues from other departments, faculties and central units.
Main tasks
Secretarial tasks, such as:
scheduling appointments, meetings, and gatherings
taking meeting minutes
ordering catering
booking business trips
administration of office supplies and other facilities
online announcements or information distribution to students
data entry and processing
handling post
some finance tasks such as processing team invoices
some HR tasks as related to new hires and student assistants
Annual scheduling of MSc courses and exams
Timetable change requests throughout the academic year
Website content management
Administrative support to programme managers, executive director, and dean of education
Team and department support, such as organising social events
Online research
Required skills, experience, and education level
Minimum HBO or equivalent
Minimum 2 years in a similar role as an executive/administrative assistant
Excellent command of English and Dutch (both minimum CEFR level C1, speaking and writing)
Generally good communication skills (speaking and writing)
Advanced knowledge of and experience with the MS Office suite (especially Outlook, Word, Excel, and Powerpoint);
Ideally experience with content management systems (Typo3, Drupal)
Ideally experience with a timetabling software (Syllabus+)
Strong organisational sense/ability
Affinity and experience with administrative processes, databases, and analytic IT tools
Ability to understand and balance micro- and macro-processes
Required personal characteristics
High level of accuracy and detail-orientation
Ability to deal with a busy, dynamic working environment
Optimistic and strong problem-solving attitude
Strong sense of initiative-taking and responsibility for work
Service-oriented and diplomatic attitude (toward students, colleagues, and external parties)

The conditions of employment comply with the collective labour agreement for Dutch universities (CAO NU). We offer a contract of 30.4-38.0 hours per week, initially for one year. Salary is subject to training and experience and may vary from a minimum of € 2.579 (scale 8 CAO NU) up to a maximum of € 3.445 gross per month (scale 8 CAO NU), based on a full-time contract of 38 hours per week. Erasmus University has attractive employment conditions, which include a holiday allowance of 8 per cent, an end-of-year bonus of 8.3 per cent, and a generous number of vacation days.
