Job description

Are you a highly organized professional with a passion for academic research and doctoral education? Do you have experience supporting PhD candidates and coordinating complex processes within a university setting? Then we are looking for you!

As PhD Coordinator, you will be responsible for the support and coordination of the doctoral process within the faculty. You will be the first point of contact for PhD candidates, supervisors, and graduate schools, ensuring a smooth progression from appointment to graduation. You will work closely with HR, the Graduate School, and other internal and external stakeholders.

We are seeking a dedicated and proactive PhD Coordinator for our Department of Chemical Engineering & Chemistry (CE&C).

As a PhD coordinator, you will serve as the primary point of contact for PhD candidates, providing guidance, support, and resources to facilitate their academic and professional growth. You proactively contact new PhD candidates and provide them with important information about their PhD program. Furthermore, you will act like a bridge between supervisors and PhD candidates to ensure proper supervision in line with the vision and strategy of the department and the core values of the TU/e.

You develop and enhance policies and practices that improve the operational environment for PhD candidates, focusing on community building and practical support. You organize and manage events that promote academic collaboration, networking, and social interaction among PhD candidates.

Working closely with the PhD council, you will ensure the needs and voices of the PhD community are heard and addressed. At CE&C there are approximately 130 PhD-candidates on payroll.

Tasks:
  • Advise PhD candidates and supervisors on regulations, procedures, and deadlines.
  • Identify, evaluate and manage implementation of improvement actions/projects, for example the reduction of the length of contracts.
  • Support recruitment and selection of PhD candidates.
  • Initiate and lead multiple projects:
  • Organize one standard onboarding programme for PhD candidates for the department, where practical information is combined with cultural and social aspects.
  • Monitor and support the wellbeing of PhD candidates.
  • Conduct three periodic meetings with PhD candidates: at the start of their project, after the first year, and in the final year, during which you also assist with planning towards the thesis defence.
  • Monitor progress and identify potential issues and solutions, especially when a PhD experiences a ‘dip’ in the process.
  • Organize workshops, and peer support sessions.
  • Act as a liaison between the faculty, Graduate School, and central University services.
  • Coordinate administrative and organizational processes related to PhD trajectories, for example Insuring that PhD candidates have a development plan in Hora Finita (TSP).

Requirements

  • A completed Bachelor’s degree or equivalent (e.g. HBO).
  • Experience within a university environment is must.
  • Affinity with doctoral education and international students.
  • Proactive and solution-oriented mindset.
  • Good communication skills and organizational sensitivity.
  • You have a well-developed empathic ability and natural composure. Integrity comes naturally to you.
  • Accurate, proactive and a hands-on mentality.
  • Ability to work both independently and collaboratively within a diverse academic community.
  • Flexibility and adaptability to manage a variety of tasks and responsibilities effectively.
  • Willing to work with and learn to use new tools.
  • Excellent verbal and written skills in English, proficiency in Dutch is considered a plus.

Conditions of employment

Fixed-term contract: 1 year.

  • A monthly salary of minimum € 3.382,- to maximum € 4.484,- for full-time employment, depending on your knowledge and experience (scale 8 collective labour agreement for Dutch Universities).
