Job Description
  • Assist management and staff members in diverse tasks, including tasks that are supportive to the head of department, education and research related activities;
  • Offer project support;
  • Handle purchases;
  • Develop and maintain overview of group finances in relevant systems;
  • Translate University regulations, policies and procedures into local practice;
  • Arrange travel plans and organise travels and reimbursements;
  • Assist in hosting guests and organizing meetings and activities;
  • Validate research outputs in the library system;
  • Ensure a well maintained office;
  • Acquire additional necessary skills on-the-job.

Requirements
  • You have a relevant background and a number of years of relevant experience;
  • You have demonstrated organizational, interpersonal and verbal communication skills;
  • You have a good command of English and Dutch both in oral and written communication;
  • You are proficient in using Microsoft Office and you get easily acquainted with other (administrative) systems;
  • You have strong interpersonal skills and the ability to work with diverse cultures and populations including researchers, administrators, PhD students and faculty members;
  • You are able to maintain composure under time pressure, take initiative, and solve problems creatively, independently and tactfully;
  • You are an enthusiastic self-starter, who is able to work both independently and as part of a team.

What we offer

As a Management-/Office-assistant
at the Faculty of Science & Engineering, you will be employed by the most international university in the Netherlands, located in the beautiful city of Maastricht. In addition, we offer you:
  • Good employment conditions. The position is graded according to UFO profile Management-/Office-assistant, with corresponding salary based on experience ranging from €2,693 and €3,636 gross per month (based on a full-time employment of 38 hours per week). In addition to the monthly salary, an 8.0% holiday allowance and an 8.3% year-end bonus apply.
  • An employment contract for a period of 12 months with a scope of 0.8-1.0 FTE. Upon proven suitability and funding, the employment contract will be converted to an indefinite contract.
  • At Maastricht University, the well-being of our employees is of utmost importance, we offer flexible working hours and the possibility to work partly from home if the nature of your position allows it. You will receive a monthly commuting and internet allowance for this. If you work full-time, you will be entitled to 29 vacation days and 4 additional public holidays per year, namely carnival Monday, carnival Tuesday, Good Friday, and Liberation Day. If you choose to accumulate compensation hours, an additional 12 days will be added. Furthermore, you can personalize your employment conditions through a collective labor agreement (CAO) choice model.

Department of Gravitational Waves and Fundamental Physics
The Department of Gravitational Waves and Fundamental Physics (GWFP) at Maastricht University is a recently established centre led by Professor Stefan Hild. GWFP currently consists of ca. 30 full time assistant, associate and full professors, post-docs and PhD students and further growth is expected. GWFP members are part of large international collaborations like the LIGO scientific collaboration, the Virgo collaboration or the LHCb collaboration at CERN. One of the key activities of the department is the construction and development of ETpathfinder, a test facility for the Einstein Telescope, a project lead by the University of Maastricht, which involves 20 partner institutions from 7 European countries.
