The International Convention of Asia Scholars (ICAS) is one of the flagship initiatives of the International Institute for Asian Studies (IIAS). ICAS is a global platform where Asia scholars and social and cultural actors from around the world engage in interdisciplinary dialogues on Asia and beyond.

We are looking for an enthusiastic and energetic Project Assistant to join our Leiden team for the organisation of the thirteenth edition of the International Convention of Asia Scholars (ICAS 13). ICAS 13 will take place in Surabaya, Indonesia from 28 July – 1 August 2024, in collaboration with Airlangga University. The ICAS 13 theme is Crossways of Knowledge and it will take the form of a conference festival (ConFest) that celebrates diversity in collaboration within and beyond academia, extending to civil society and the arts. ICAS 13 will feature globally relevant themes explored through various formats, including panels, interactive roundtables, poster presentations, methodologies and hands-on workshops, book, film, food and craft fairs, exhibitions and other participatory formats of local engagements, both in and around various venues. Key Responsibilities
The Project Assistant will be responsible for the Organisational and Administrative support for ICAS 13. Responsibilities include:
  • Serve as a contact person for internal and external relations
  • Sort and monitor all correspondence
  • Respond to inquiries from participants and interested parties, including participation, panel and abstract changes and other practicalities queries
  • Assist in sending invitation letters
  • Process registrations/confirmation of participation in the participants’ database
  • Provide administrative support for drafting the programme, surveying abstracts and other information
  • Plan meetings with the Airlangga University ICAS 13 team and other organisations involved, create agendas, collect meeting documents, take minutes and monitor the progress of action items
  • Manage ICAS social media platforms

Requirements

Your Profile
  • Minimum HBO (Higher Vocational Training) degree
  • Demonstrated experience in event planning
  • Strong affinity with Asia/Asian studies
  • Excellent intercultural communication skills in English and Dutch (preferred)
  • Strong planning, organising and coordinating skills
  • Flexible working attitude in a dynamic environment
  • Critical thinking and a proactive approach
  • Proficiency in computer skills and eagerness to learn to work with new software programmes, especially in conference management

Conditions of employment

Terms and conditions
We offer a position until 30 September 2024, in line with the collective employment agreement of Dutch universities. Salary ranges from €3072.- to €4103.- gross per month (pay scale 8).

The International Institute for Asian Studies (IIAS) is a global humanities and social sciences research institute and knowledge exchange platform based in Leiden, The Netherlands.
