Job description

In June 2021, Utrecht University started with the Warm Welcome project, which is aimed at helping new international students feel at home in Utrecht. In order to develop and realise this project’s ambitions, we are looking for an enthusiastic and experienced event manager who will organise the warm welcome weeks & other events for international students.

Your main responsibility is planning & coordinating the Welcome Week. This week is held twice a year, in August and February, for all incoming international students. Besides these two main events, you will also organise several activities during the academic year to help students feel welcome at the university and in the Netherlands and to get to know Utrecht. These events support students in building their life in the city and contribute to their study success and enjoyment. You will work in the Student Life & Mobility team, within the Student & Academic Affairs Office. This means that you are not alone in organising the Welcome Weeks. It is your task to coordinate the team of student assistants and colleagues that organises them. Your contacts are not limited to your team and the Office, as you will also regularly be in touch with colleagues at the faculties and with student organisations.

Requirements

This role requires a can-do attitude, reliability and a strong sense of responsibility. Furthermore, you bring the following:
  • a completed university education;
  • the skills to keep on track with the multitude of tasks that you and your team work on;
  • excellent (C2) spoken and written communication skills, both in Dutch and English;
  • knowledge of project management;
  • excellent organisational skills and the ability to orientate yourself well in a large and complex administrative organisation;
  • entrepreneurial drive, creativity and enthusiasm;
  • the ability to work within a team, but also independently;
  • preferably experience in organising events with the target group of international students;
  • preferably experience in working with international students at both a faculty and at an institutional level.

Conditions of employment

We offer:

  • a position (0.6 FTE) for one year and after positive evaluation, this can be turned into a permanent position; 
  • a full-time gross salary between €3,072 and €4,103 in scale 8 of the Collective Labour Agreement Dutch Universities (CAO);
  • 8% holiday bonus and 8.3% end-of-year bonus;
  • a pension scheme, partially paid parental leave, and flexible employment conditions based on the Collective Labour Agreement Dutch Universities.
