Secretarial all-rounders with a passion for organising and supporting the work of the education support department.

Job description

Do you have strong organisation and communication skills in English and Dutch? Are you client- and service-oriented, but also accurate and efficient in the back-office? And can you juggle a variety of different tasks for different people at the same time? Then you could be one of two new part-time Secretaries Education Services in our team.

You will be the face of our service desk, and provide back-office support to various teams in a dynamic international department.

Your main tasks
  • Welcoming (international) guests and assisting visitors with questions
  • Liaise with receptions of other departments
  • Scheduling appointments, meetings, and gatherings
  • Taking meeting minutes
  • Ordering catering
  • Booking business trips and pre-approval of invoices
  • Administration of office supplies and other facilities
  • Keeping logistic information updated, such as room name boards and email distribution lists
  • Handling post and couriers
  • Some HR tasks as related to new hires, student assistants, and parting employees
  • Administrative support to dean of education and occasionally department directors
  • Organising social gatherings and departmental meetings for the department
  • Representing the department in the RSM secretaries' group and informational gatekeeping
  • Logistic support before and during big events, such as kick-off events, open days and graduations
  • Managing the social areas

Requirements

  • Minimum mbo-level 3 or equivalent
  • Minimum of two years in a similar role as secretary, team assistant, management assistant, or receptionist
  • Excellent command of English and Dutch (both minimum CEFR level C1, speaking and writing)
  • Advanced knowledge of and experience with the MS Office suite (especially Outlook, Word, Excel, PowerPoint, Teams, and SharePoint)

Conditions of employment

Fixed-term contract: 12 months, with a possibility for extension upon mutual satisfaction.

This is an interesting for early career high potentials, to develop themselves and their project skills in a top 10 mission-driven European business school.

The department, situated on the completely renovated 5th floor of the Mandeville Building on Erasmus University's Woudestein campus, is headed by the Dean of Education and consists of several teams in programme management, recruitment and admissions, study advice, business intelligence, international office, examination board support, and a career centre. We support the educational processes of around 8,000 students in 15 degree programmes and two premaster programmes. You will be part of an international, diverse department and work for and together with about 50 colleagues, but also have contact with other departments, faculties and central units. We are looking for two colleagues who will each work three days (or equivalent) per week, start simultaneously, and back each other up during absence. Availability in evenings and on weekends might very occasionally be required during events like open days or graduations. Depending on persisting pandemic regulations, work from home might initially still be partially required, but in principle, on-campus work will be the rule. Notebook computers and accessories will be provided.

The conditions of employment comply with the collective labour agreement for Dutch universities (CAO NU). We offer two part-time contracts of 22.8 hours per week, initially for one year.

Salary is subject to training and experience and may vary from a minimum of € 2,329 up to a maximum of € 3,144 gross per month (scale 7 CAO NU), based on a full-time contract of 38 hours per week.
