Job description

Are you the management/office assistant who, in addition to secretarial work, also wants to ensure that other organizational activities run smoothly for the Animal Breeding & Genomics chair group of Wageningen University & Research? At the Animal Breeding & Genomics and Quantitative Veterinary Epidemiology chair groups a secretary position is available.

The secretariat plays a pivotal role within these professional, dynamic and internationally oriented chair groups. You will work together within the secretariat of a cluster called Population Dynamics and Genomics, consisting of 3 closely cooperating chair groups; in addition to Animal Breeding & Genomics (ABG), also Marine Animal Ecology (MAE) and Quantative Veterinary Epidemiology (QVE).

Together with your colleagues within the cluster, you are responsible for the functioning of the secretariat of the chair groups. In consultation with the professors and general manager of ABG, you coordinate the duties with your colleague and, if requested, you can take over all secretarial tasks. In addition to the regular secretarial work, you also perform practical managerial and organizational activities and act as a link between the environment and the chair groups. You tackle the resulting work independently and proactively, without losing sight of the existing processes.

Your activities include:
  • All common secretarial activities such as mail, post and telephone handling, diary management, archiving, booking travel, assistance with visa applications, etc.;
  • Organizing, preparing agendas and taking minutes of meetings and monitoring compliance with agreements made and the progress of action points;
  • Planning and organizing various internal and external events within the chair groups such as meetings, courses, guided tours, graduation talks, colloquia, receptions, symposia and conferences; and/or support in this regard;
  • Collecting and processing data for various central WUR databases. For example, for HRM affairs, research (publications, project administration, etc.), educational student affairs and financial affairs;
  • Clear coordination with colleagues from inside and outside ABG and QVE and with students is important here;
  • Support with the financial administration of the chair groups, such as drawing up intercompany invoices, accounting for correct projects, etc.;
  • Creating, maintaining and archiving various overview files, which are important for the processes within the chair groups.

Requirements

  • You have completed training as a (executive) secretary or Management Asistant at MBO+ / HBO level and you have several years of work experience in a comparable position, preferably within WUR;
  • Extensive knowledge of the MS Office programs Outlook, Word, Excel, Teams and PowerPoint is required;
  • Dexterity with online communication tools and WUR-related automation packages such as Sharepoint is an advantage;
  • You have an excellent verbal and written command of the Dutch and English language;
  • You are aware of the environment, enterprising, accurate, have good communication skills and are used to working in an international environment.
We also expect an independent, service-oriented, proactive and flexible attitude, and a highly developed organizational capacity. In addition, you are stress resistant and honest. You can handle pressure and confidentiality and have the ability to build relationships based on trust and respect.

In addition to these first-rate employee benefits, you will of course receive a good salary. Depending on your experience, we offer a competitive gross salary of between minimaal € 2.310,- tot maximaal € 2.900,- for a full-time working week of 38 hours, in accordance with the Collective Labour Agreements for Dutch Universities (CAO-NU) (scale 6). It concerns a fixed-term employment contract, initially for a period of 1 year with the possibility of extension and eventual appointment for an indefinite period of time with a working time of 24 - 32 hours per week.

The Animal Breeding & Genomics chair group provides education and research in the field of animal and fish breeding, genetics and genomics. This is becoming increasingly important to ensure food security. Optimal breeding schemes for animal selection are made by using the hereditary properties and genomic information of (farm) animals and fish. This contributes to innovations in livestock farming and fish farming. The challenge is to produce enough food globally with a smaller ecological footprint, while preserving the health and welfare of animals.
