Job description

The Management Assistant reports to the Programme Manager and/or the Director of the EMLE programme, and will be working in the EMLE Management Team, which also includes two student assistants. This team, located at Erasmus School of Law in Rotterdam, is responsible for coordinating the EMLE programme, a Master programme offered by 9 international universities. This responsibility includes coordinating the students participating in the EMLE, from the moment they apply for admission to the programme until their graduation. The team also deals with tracing and communicating with the EMLE Alumni. Moreover, the EMLE Management Team will handle the communication with the international partner universities and prepare the meetings of the EMLE Board and the annual Midterm Meeting. The Management Assistant will play a pivotal role in the team, being the main contact point for current students, overseeing the work of the student assistants, coordinating with the Programme Manager and bringing non-routine issues to the attention of the Director. The working language is English.

The tasks of the Management Assistant will - amongst others - include (either directly or as supervisor of the student assistants):
  • Corresponding mainly by email, but also by phone, through online meetings or in person, with prospective students, current students, graduates/alumni, teachers and Associated Partners of EMLE;
  • Dividing the students across the partner universities in different cohorts per term according to the EMLE mobility patterns and the preferences of the students;
  • Maintaining an up-to-date student and alumni database;
  • Collecting, checking, and entering course results in the student database;
  • Coordinating with the faculty's back offices regarding the application, residence permits, enrolment, students' services, and the collection of tuition fees;
  • Preparing the academic calendar and monitoring its implementation;
  • Communicating with the local coordinators at each partner university and with their staff;
  • Scheduling lectures, events and group meetings (including arranging travels, hospitality and accommodation) in Rotterdam;
  • Preparing the agenda of EMLE meetings and taking their minutes;
  • Identifying improvement possibilities for EMLE with regard to internal procedures, the curriculum, and employability of graduates.

Requirements

  • You have at least Dutch HBO-level education. A university degree at Bachelor level is appreciated. Prior experience in a comparable position is highly recommended;
  • You have excellent written and oral skills for expressing yourself in English (at least B2 level in the CEFR). Ability to express yourself in Dutch (at least B2 level in the CEFR) is a plus;
  • You are highly proficient in the use of Word, Excel, PowerPoint and Outlook; proficiency in Access is a plus;
  • You know how to deal with databases and have some basic understanding of accounting;
  • You have excellent communication skills, like to deal with students and more in general with people having an international and multicultural background;
  • You have a proactive and service-oriented working attitude, a strong capacity for learning and a great sense of responsibility and integrity;
  • You are well organized, take pride in your accuracy, are accustomed to working in teams;
  • You are flexible, available to travel occasionally, and will be able to cope with the peaks in work intensity that stem from deadlines and unforeseen circumstances.

Conditions of employment

An internationally oriented and varied job in an enthusiastic team, with good working conditions in accordance with the Collective Labor Agreement for Dutch Universities (CAO NU).

The start date of this position is 1 June 2023 and you will be based at the Campus Woudestein - Rotterdam, located at Erasmus School of Law (ESL). The position is for 0,6 fte - 0,8 fte. The salary is dependent on your experience and knowledge and ranges from a minimum of € 2.818 to a maximum of € 3.764 gross per month on a fulltime basis, in accordance with Scale 8 of the CAO-NU. In addition, we offer an 8% holiday allowance, an end-of-year payment of 8.3%, and a very generous paid leave scheme.
