Job description

As a student assistant, you must be motivated and eager in helping with different administrative tasks in your role. You will have two main roles as an assistant to the UC, namely minutes- taking in the University Council meetings and clerical duties to the HeQa task force. Moreover, you may be expected to help in the organisation of other activities and providing general administrative support to the Council and the Secretariat.

Minutes taking
The University Council is structured around a 6-week cycle of regular meetings and appointments, which are scheduled on Tuesdays, as a general rule. As a minutes-taker, you will carefully write down the conversations that take place in different meetings. The meetings are up to three hours long, and thus, it is important to have the capacity to focus for long periods of time. For taking notes, the candidate must have excellent typing skills and a strong ability to make structured summaries of long and complex discussions, with a balanced attention to detail. Additionally, the candidate must have great problem-solving skills to clarify difficult discussion points as well as good judgement in the prioritisation of written information. The minutes must be processed two-business days after each meeting, so the candidate must be readily available to work, especially on Tuesdays, Wednesdays, and Thursdays.

HeQa Taskforce
The HeQa (Higher Education Quality Agreement) Taskforce consists of seven council members and is tasked with overseeing the good functioning investments in the quality of education within EUR. As Clerk to the HeQa Taskforce, you will work alongside the Chair of the UC by providing administrative support to the task force. You will plan and schedule regular meetings and events, create agendas and take minutes, and communicate with policymakers and project managers, so that the Council is correctly involved in supervising the HeQa investments. Moreover, you will draft official documentation and letters to the Executive Board. For this task, the candidate must have excellent organization skills and be an excellent communicator, both orally and in writing. Additionally, any experience with stakeholder management, as well as background knowledge on public administration and the governance structure of the university are a plus.

Main requirements for a successful candidate
  • Excellent communication skills (typing, writing, speaking) in English. Dutch would be a plus, but it is not a requirement.
  • Flexible hours of working and time management skills (besides your regular load of studies, you must be available to the Council for 8-16 hours a week, with most fixed activities taking place on Tuesdays)
  • Attention to detail, problem-solving skills, and creativity
  • Strong organizational and planning skills
  • Capacity to focus for long periods of time
  • Being a student at EUR (BA2, BA3, or Master student)
  • Organizational experience (for instance, participation in boards or committees)
  • Knowledge of the governance structure of the EUR

Conditions of employment

We offer you an internationally oriented and varied job in an enthusiastic team, with excellent working conditions in accordance with the Collective Labour Agreement for Dutch Universities (CAO-NU).

The start date of this position is 17-JUL-2024 and you will be based at [class.26087] in General Management Directorate (ABD). This position is for 0.2 fte - 0.4 fte. The salary is dependent on your experience and knowledge and ranges from a minimum of € 2.618 to a maximum of € 2.846 gross per month Scale Student Assistant on a fulltime basis (38 hours), in accordance with the CAO-NU. The contract is entered into for the duration of (contractduur) and can be converted into a permanent contract if performance is good and the organizational circumstances remain unchanged.
