Tilburg University | University Services is looking for a Graduate school officer (0.6 FTE - 24 hours per week) for the Division Academic Services, Research Support Team TiSEM, location Tilburg. Duration of employment contract: 12 months with possibility of indefinite employment upon good performance.

You will work within the CentER Graduate School of TiSEM and support the PhD process. Your main task is to monitor the progress of the administrative process of PhD projects. You will work in a team and have regular contact with colleagues from other departments within TiSEM. 

In this position you will have two main tasks. Firstly, you’ll become the graduate officer for all our PhD candidates in the Professional PhD Program (PPP). Next to this you will also be responsible for the final phase of the PhD trajectory of all our PhD candidates. In this role you will among others:

  • Support the director of Graduate Studies PPP with the organization of the PPP program from recruitment to the final PhD Defense.
  • Organize the yearly PPP course week.
  • In the final stage of the PhD trajectory you will support the PhD candidate/PhD supervisor with the appointment of the PhD committee, the approval of the manuscript and the printing of the final thesis.

Next to this you will support the entire graduate office team in administrative tasks, such as arranging complex meetings, ordering lunches, sending specific (bulk) emails and newsletters.

Requirements

We are looking for an independent office assistant with a completed pre-education at a minimum vmbo-t/havo level, supplemented by a relevant MBO or HBO education (secretarial study, office management, etc.) and several years of relevant work experience. You communicate professionally, effectively and fluently in both Dutch and English, verbally as well as in writing. You also have up-to-date knowledge of various MS Office programs (including teams) and are able to quickly master new applications. 

  • You have team spirit: you have a positive attitude, like to feel part of a team and express this through collaboration, sharing knowledge and experiences, and contributing to an open and inclusive work environment.
  • You are a proactive and enthusiastic person who is willing to take initiative.
  • You feel comfortable in a dynamic environment and know how to prioritize under pressure.
  • You are well able to work systematically, keep an overview, make the right connections and switch quickly. In other words: you have a decent organizational talent.
  • You have a flexible attitude and a representative approach.
  • You are organizationally sensitive, have a good sense of priorities and work discreetly. 

Conditions of employment

You will be appointed as “Medewerker studentzaken 3” for 0.6 FTE (24 hours per week) of the full-time working week. 

The salary amounts to a minimum of €2,693.- and a maximum of €3,636 gross per month for full time employment contract. Tilburg University uses a neutral salary system for scaling that is based on relevant education and work experience. 

You will be given a temporary employment contract for the duration of 12 months. After this period, if your suitability has been proven and you continue in the same position, you will receive an employment contract for an indefinite period. 

You are entitled to a vacation allowance of 8% and a year-end bonus of 8.3% of your gross annual income. If you work 40 hours per week, you will receive 41 paid days of leave per year.

Research Support Team TiSEM
The graduate office is part of the Research Support Team (RST) that consists of an enthusiastic group of employees who provide support to the researchers and the management team of the faculty in areas such as PhDs, registration of research output, quality of research and research assessments.

The RST is part of Tilburg University's Academic Services (AS) division. This division is responsible for the formulation and implementation of the university's research, education and impact policies. The organizational and administrative support for study programmes, graduate schools and research programs is organized by the division. In addition, Academic Services provides guidance for students, lecturers, researchers and PhD candidates, and supports the acquisition of research resources and the valorisation of research results. The division is divided into three units: Education, Research and Impact (Knowledge Transfer Office). The division also has a Policy Staff department.
