Job description

We are currently looking for a new colleague to join our AUC Board of Examiners (BoE) secretariat!

What are you going to do?

As Secretary to the Board of Examiners, you will support the Board of Examiners in handling student requests, appeals and quality control. Your task will include the preparation, administration and documentation of the Board of Examiners. This includes the planning and preparation of the agenda of the board meetings, the documentation of decisions, and preparation of the annual report. Clear communication and cooperation with colleagues in the Registrar and Admissions office and the academic staff is essential. You will work closely with another Secretary to the Board of Examiners, who is currently supporting the BoE with more legal dossiers at AUC.

You will be the central point for questions from colleagues and students about the rules and regulations and their practical implications within the programme. This will involve the organisation of student requests in Topdesk, organisation of meetings in Microsoft Teams, and being able to access information in a number of other databases.

You will participate in expert networks with other secretaries of boards of examiners from VU and UvA. The work of a Secretary to the Board of Examiners is very dynamic and continuously changing. This requires flexibility, but also continuous development and training.

The Secretary will report to the Head of the Registrar and Admissions team of AUC.

As the secretary of the Board of Examiners, your duties include (amongst others):
  • organising, preparing and recording meetings of the BoE.
  • preparing and handling student requests, such as exemption requests, extra exams, requests for electives, complaints regarding exams/exams;
  • coordinating fraud and plagiarism cases and appeals;
  • supporting committee members in the implementation of quality assurance of testing and assessment;
  • supplying information, key figures and control figures for the production of the annual report.
  • supporting policy and decision-making of the BoE by obtaining and collecting important information that supports the decision-making information of the BoE;
  • make proposals for the adjustment of existing procedures and regulations and after obtaining prior approval to change them;
  • monitor and promote compliance established procedures, decisions and agreements

Requirements

Your experience and profile:
  • Experience as Secretary to a Board of Examiners (examencommissie) is an advantage, but transferable skills and experience in other similar positions will also be considered (demonstrating affinity with legal/regulatory issues and ability to provide policy preparatory support).
  • affinity with students and education;
  • a service-oriented but also proactive attitude;
  • ability to work independently as well as in a team.
Knowledge and skills required:
  • excellent and accurate verbal and written communication skills: excellent English and good Dutch is preferable
  • well-developed interpersonal and intercultural communication skills;
  • an affinity with legal/regulatory issues;
  • good organisational and time management skills, and the ability to work on a number of different projects at once;
  • ability to work to strict deadlines.
  • well-developed skills with MS Office (Teams, Excel, Word, Outlook);
Personal attributes required:
  • a preference for (and preferably experience with) working in a dynamic international academic environment;
  • enjoy working in a service-oriented environment;
  • ability to work under pressure;
  • capacity and willingness to learn fast on-the-job;
  • ability to act with tact, diplomacy, discretion and respect for confidentiality;

Conditions of employment

We are offering a temporary contract for 30.4 hours a week for one year in the first instance. A permanent contract will follow if we assess your performance positively. An immediate start is possible. UFO profile is secretaris 3. Salary will be between € 2,818 to € 3,764 gross per month, depending on experience, based on 38 hours per week (salary scale 8)

This does not include 8% holiday allowance and 8,3% year-end allowance. For this position we can not sponsor a visa. CAO Universiteiten is applicable.

Amsterdam University College (AUC) was established by the VU and the UvA in 2009. It offers their international Liberal Arts and Sciences joint-degree programme for approximately 900 Bachelor students. The social sciences team is responsible for the social science courses, which includes courses in thematic and interdisciplinary courses as well as disciplinary courses in Economics, Law, Political Science, International Relations, Anthropology, Sociology and Psychology. The Head of Studies manages the team and reports to the Director of Education.
